Once shipment is created
Functionality available¶
- Add Shipment Documents & Organize in Folders
- Add Contacts & share Shipment documents
- Smart Email Inbox | 1 Shipment = 1 Inbox
Shipment Share & Add contact¶
Shipment can be shared to multiple external users. By default, all the internal users who have access to shipment module can see shipment.
To share Shipment, click on share shipment button.
- User can share specific shipment document or all the shipment document.
- Access control defines validity of shipment access to external users.
Note
If shipment is shared perpetually, it does not have any expiry.
If external user is not available in the list user can add external user from shipment screen.
Link Shipment Documents & Organize files in folders¶
User can link documents under smart link feature, which allows all documents to be linked to shipment.
Note
Shipment can be linked to multiple orders but only linked to one invoice, shipping bill & bill of lading.
Note
When user link Invoice, it will automatically links Bill of lading & shipping bill attached to invoice.
Once document is linked to shipment user can view the document by clicking on linked document number. This allows to
- Unlink document
- Download Document
- Edit Document (Redirected to update document form)
User can add multiple folders inside shipment.
There are two ways to add files to folder. One to click + icon next to folder name or click on upload documents button.
Smart Chat¶
Smart Chat module feature works exactly like email chat box. User cam send message to any one from this portal who has access to shipment.
Compose Message¶
Click on + icon in bottom right corner to compose message.
Once to popup is open, click on everyone to choose the recipient.
Info
User can send message without notifying user through email, just un-tick "Send email to recipients" box.
Note
If multiple users are selected to send message each will receive email independently.
Checklist¶
User can create checklist and assigned them to users who have access to shipment. Bt default, checklist is created from master checklist. But user can add more.
Pinned Message¶
User can pin any message from the chat window. Just hower on message and click on pin icon.
User can forward the sent message to any one. Just Click on forward icon next to pin icon. User can delete the sent message. Just click on trash icon next to forward icon.
Note
Deleting the message will be soft deleted.
Shipment Email address¶
Internal User can user shipment email address to send message from outside shipment window but wants to record the email in shipment chat window.
Shipment Menu¶
Shipment details page also provides 3 more functionality. 1. Create Reminder. 2. Shipment tracking 3. Shipment Expense Tracker
Reminder¶
This allows to set reminder for Shipment ETA & ETD.
Shipment Tracker¶
This allows to track the current status of shipment container.
Shipment Expense Tracker¶
This allows to manage all the expenses occurred per shipment and revenue generated per shipment. This helps organisation to identify profit/loss occurred per shipment. User can prepare budgeted expenses for shipment and then add actual expenses to find deviation.
Formula
- Deviation = totalActualFCY - totalBudgetedFCY
- Profit&Loss = totalRevenueFCY - totalActualFCY
